Privacy Policy

Effective Date: January 15, 2025

At PulseWaveGlow, we understand that trusting someone with your financial data isn't a small thing. This privacy policy explains how we collect, use, and protect your information when you use our expense management automation services.

We've written this in plain language because legal jargon helps no one. If something here doesn't make sense, reach out. We're happy to clarify.

Information We Collect

Running an expense management platform means we need certain information to make things work properly. Here's what we collect and why:

Account Information

When you sign up, we ask for your name, email address, company name, and phone number. Pretty standard stuff. We use this to create your account, send you service updates, and help you recover access if you forget your password.

Financial Data

This is the core of what we do. We collect transaction records, receipt images, vendor information, and expense categories. Our system processes this data to automate your expense tracking, generate reports, and spot patterns that might save you money or flag unusual activity.

Usage Information

We track how you interact with our platform — which features you use, when you log in, what reports you generate. This helps us improve the service and troubleshoot issues when they come up. We also collect device information and IP addresses for security purposes.

How We Use Your Information

We're not in the business of selling your data or using it for anything sketchy. Here's what we actually do with it:

  • Process and categorize your expenses automatically using machine learning algorithms trained on transaction patterns
  • Generate financial reports and insights tailored to your spending habits and business needs
  • Send you notifications about unusual transactions or spending anomalies that might need attention
  • Provide customer support when you need help or something goes wrong
  • Improve our platform based on how people actually use it in real-world scenarios
  • Comply with Taiwan financial regulations and tax reporting requirements
  • Detect and prevent fraudulent activity or unauthorized access attempts

Data Storage and Security

Your financial information lives on secure servers located in Taiwan data centers that comply with local regulations. We use bank-level encryption (AES-256) for data at rest and TLS 1.3 for data in transit.

We perform regular security audits and penetration testing. Our team receives ongoing security training, and we maintain strict access controls — not everyone on our team can see your data, only those who need it to provide support or maintain the system.

We back up your data daily to separate secure locations. If something catastrophic happens, we can restore your information. Backups are encrypted and retained for 90 days before being securely deleted.

Data Sharing and Third Parties

We don't sell your data. Period. But we do work with some third-party services to keep things running:

Service Type Purpose Data Shared
Cloud Infrastructure Host our platform and databases Encrypted data storage only
Email Services Send notifications and reports Email address, name, notification content
Payment Processors Handle subscription payments Billing information, transaction records
Analytics Tools Understand platform usage patterns Anonymized usage statistics
Customer Support Manage support tickets and inquiries Contact details, support conversation history

All third-party providers sign data processing agreements with us and must meet our security standards. They can only use your data for the specific purposes we've outlined.

Your Rights and Control

Under Taiwan's Personal Data Protection Act, you have several rights regarding your information. Here's what you can do and how to do it:

Access Your Data

Request a copy of all the information we hold about you. We'll provide it in a readable format within 15 business days.

Correct Information

Found something wrong? You can update most information directly in your account settings, or contact us for help.

Delete Your Account

Want to leave? We'll delete your account and data within 30 days. Some records may be retained for legal compliance.

Export Your Data

Take your data with you. We'll provide exports in standard formats like CSV or JSON for easy migration.

Restrict Processing

Temporarily pause certain data processing activities while we investigate your concerns or requests.

Object to Processing

Disagree with how we're using your data? Let us know. We'll review your concerns and adjust if possible.

To exercise any of these rights, email us at support@pulsewaveglow.com with your request. We'll need to verify your identity before processing, which usually means confirming some account details.

Data Retention

We keep your data for as long as you have an active account with us. After you close your account, here's what happens:

  • Most data is deleted within 30 days of account closure
  • Financial transaction records are retained for 7 years to comply with Taiwan tax regulations
  • Anonymized usage statistics may be kept indefinitely for product improvement
  • Customer support records are retained for 3 years for quality assurance
  • Security logs are maintained for 1 year to assist with potential investigations

If you want everything deleted immediately (where legally permissible), just ask. We'll honor that request and confirm when it's done.

International Data Transfers

Your data primarily stays in Taiwan. However, some of our service providers operate globally, which means your information might be processed in other countries. When this happens, we ensure those providers maintain adequate data protection standards through contractual agreements.

If you're accessing our service from outside Taiwan, your data will be transferred to and processed in Taiwan according to this privacy policy and local regulations.

Cookies and Tracking

We use cookies to keep you logged in and remember your preferences. Some cookies help us understand how people use the platform so we can make it better.

You can control cookies through your browser settings. Blocking all cookies might break some features, but essential functionality should still work. We don't use advertising cookies or sell data to ad networks.

Children's Privacy

Our service isn't designed for anyone under 18. We don't knowingly collect information from children. If we discover we've accidentally collected data from someone underage, we'll delete it immediately.

Changes to This Policy

We'll update this privacy policy occasionally as our service evolves or regulations change. When we make significant changes, we'll notify you by email and display a notice in the platform.

The "Effective Date" at the top tells you when the current version took effect. Previous versions are available upon request if you want to see what changed.

Legal Compliance

We comply with Taiwan's Personal Data Protection Act and relevant financial regulations. Sometimes we're legally required to disclose information — for example, if law enforcement presents a valid court order, or if we need to prevent fraud or protect someone's safety.

When possible, we'll notify you before disclosing your information unless we're legally prohibited from doing so.

Questions or Concerns?

Privacy policies can raise questions. If something here concerns you or doesn't make sense, we'd rather hear about it than have you worry.
